1. Titolare del trattamento e contatti
Titolare è BFC Media S.p.A., Via Melchiorre Gioia 55, 20124 Milano, C.F. e P.IVA 11673170152 (“BFC”).

4. Chi tratta i Tuoi dati
6. Trasferimenti fuori dallo Spazio Economico Europeo
Alcuni fornitori hanno sede negli Stati Uniti. I trasferimenti avvengono verso soggetti certificati EU-U.S.
8. Sicurezza
Adottiamo misure tecniche e organizzative adeguate (art.
9. I Tuoi diritti
Hai diritto di accesso (art. 15), rettifica (art. 16), cancellazione (art. 17), limitazione (art.
Notice on the processing of personal data of event participants – Articles 13 and 14 of Regulation (EU) 2016/679 (“GDPR”) – version 1.0 – October 2026
Dear Participant, this notice explains how BFC Media S.p.A. processes your data when you register for and attend an event organised by BFC Media S.p.A. or by one of its publications and brands, including Forbes Italia, Robb Report Italia, Bluerating and Nautica (the “Event”), through the websites, apps and registration platforms of BFC and its publications (the “Platforms”). Capitalised terms have the meaning given in the Terms and Conditions (“T&C”).
1. Data controller and contact details
The controller is BFC Media S.p.A., Via Melchiorre Gioia 55, 20124 Milan, Tax Code and VAT No. 11673170152 (“BFC”). For any request: privacy@bfcmedia.com. Data Protection Officer (DPO): Danilo Simone, who can be contacted at privacy@bfcmedia.com.
If the Event is co-organised, the registration page indicates the co-organiser and its role (see section 5).
2. What data we process and where it comes from
• Data you provide in the form: first name, surname, email, mobile number, job title, company, city, company VAT number (optional), type of registration, how you heard about the Event (optional), your consent choices.
• Data generated by your participation: personal QR code, registration status (registered, waiting list, attended, absent), date and time of check-in, any reference list or co-organiser.
• Badge photo (optional): only if you choose to upload it.
• Images and footage of the Event: taken during the Event by appointed photographers and videographers.
• Technical data: IP address, access and security logs, data stored on your device to make the Platforms work (see section 10).
If a company or a partner has registered you on your behalf, the data comes from that party: we process it only for purpose F1 and send you this notice in our first communication.
We do not ask for special categories of data (Art. 9 GDPR). If you spontaneously tell us about dietary or accessibility needs related to health, we use this information only to organise your participation and delete it within 30 days of the Event.
3. Purposes, legal bases and retention
Taking part in our Events is free of charge, and you are aware that this is possible thanks to the sponsors and partners who support them: their contribution covers much of the cost of organisation, hospitality and content and allows us to keep access free, edition after edition.
For this reason, at Events with sponsors, we ask whether you agree to your contact details being shared with the Event partners so that they can tell you about their initiatives (purpose F3). This consent is important to us, because it is one of the ways in which the Events can remain free. It nevertheless remains your free choice: if you do not give it, you register and take part exactly like everyone else, and you can change your mind at any time.
Below you will find, for each use of your data, what we process, on what basis and for how long.
| Purpose | Data | Legal basis | Retention | Provision of data |
|---|
| F1 – Managing registration and participation: registration, QR code, waiting list, check-in, badge, Wallet pass, service communications and reminders | Form data, QR code, check-in | Art. 6(1)(b) GDPR – performance of the T&C | 24 months from the Event | Necessary for mandatory fields |
| F2 – Newsletters, invitations and promotions from BFC and its publications | Name, email; mobile number only if you choose SMS/WhatsApp | Art. 6(1)(a) GDPR and Art. 130 Italian Privacy Code – consent | Until withdrawn and no longer than 24 months from the last interaction | Optional |
| F3 – Disclosure to the Event sponsors for their own marketing | Name, email, company, job title | Art. 6(1)(a) GDPR – consent | BFC keeps proof of the consent and of the disclosure for 5 years | Optional |
| F4 – Photos and videos for news reporting and journalistic documentation | Images, voice | Art. 6(1)(f) and Art. 85 GDPR; Arts. 136-139 Italian Privacy Code; Journalists’ Code of Conduct; Art. 97 Law 633/1941 | Journalistic archive | Not required; right to object |

Marketing (F2). Consent is not a condition of registration and may be withdrawn at any time via the link at the bottom of every email or by replying STOP to text messages. Service communications about the Event you have registered for (confirmation, QR code, reminders, changes) fall under F1 and are not marketing.
Images (F4). The footage documents the Event as a public occurrence, respecting the essential nature of the information and the dignity of the individual, and is published in the editorial media of BFC and its publications (print, websites, social media, newsletters). We do not use it to advertise products of BFC or of third parties without the consent of any person who is recognisably portrayed. If you prefer not to be filmed or photographed in close-up, please tell the staff at registration.
4. Who processes your data
• Authorised BFC staff: events team, reception staff (only the data needed for check-in), the editorial teams of the publications (only for F4), the sales department (list of registrants for organising the Event, with no promotional use unless you have given F2 consent).
• Suppliers appointed as processors (Art. 28 GDPR): website and app hosting services, databases, productivity tools and spreadsheets, email delivery, artificial intelligence services, photographers and videographers.
• Google and Apple, only if you choose to add the pass to your Wallet, where available.
• Event sponsors, only with F3 consent, as independent controllers.
• Co-organisers, within the limits of section 5; authorities, only where required by law.
The up-to-date list of processors is available by writing to privacy@bfcmedia.com.
5. Co-organised Events
For Events co-organised with another party, indicated on the registration page, BFC and the co-organiser act as joint controllers under Art. 26 GDPR for the list within their respective responsibility, or the co-organiser acts as BFC’s processor, as specified on the Event page. The essence of the arrangement is available on request and you may exercise your rights against each of them.
6. Transfers outside the European Economic Area
Some suppliers are based in the United States. Transfers are made to entities certified under the EU-U.S. Data Privacy Framework (adequacy decision of 10 July 2023) or, failing that, on the basis of the Standard Contractual Clauses (Art. 46 GDPR) with supplementary measures. You may request a copy of the safeguards at privacy@bfcmedia.com.
7. Artificial intelligence and automated decision-making
BFC uses artificial intelligence tools for editorial and organisational activities, for example drafting and translating event descriptions, creating illustrative images and aggregate statistical analysis. Content generated or significantly modified with AI is labelled as such (Art. 50 Regulation (EU) 2024/1689, “AI Act”). We do not use AI to assess individual participants, nor for automated decisions producing legal or similarly significant effects concerning you (Art. 22 GDPR), nor for facial or biometric recognition.
8. Security
We adopt appropriate technical and organisational measures (Art. 32 GDPR): access to management systems restricted to company accounts with differentiated roles and permissions, encryption of communications, a log of deletions, personal QR codes, backups. In the event of a data breach posing a high risk to you, we will inform you without undue delay.
9. Your rights
You have the right of access (Art. 15), rectification (Art. 16), erasure (Art. 17), restriction (Art. 18), portability (Art. 20), to object to processing based on legitimate interest (Art. 21) and to withdraw your consent at any time, without affecting the lawfulness of prior processing (Art. 7). You may lodge a complaint with the Italian Data Protection Authority (Garante per la protezione dei dati personali, www.garanteprivacy.it) or with the authority of the EU country in which you live or work. For journalistic processing (F4) some rights may be restricted under Art. 85 GDPR and Arts. 2-undecies and 136-139 of the Italian Privacy Code.
To exercise them write to privacy@bfcmedia.com; for marketing you can also use the “Unsubscribe” link. We reply within one month.
10. Websites, apps, cookies and local storage
For Event registration the Platforms use only technical tools necessary for them to work (technical cookies, browser local storage, a service worker for use as an app), for which consent is not required (Art. 122 Italian Privacy Code). Any analytics or profiling cookies and tools on the publications’ websites and apps are described in the respective cookie policies and are activated only with your consent, collected through the dedicated banner.
11. Minors
Registration is reserved for adults. If we discover that we have collected data from a minor without the authorisation of the person with parental responsibility, we will delete it.
12. Changes
We may update this notice to reflect changes in the law or in our services. The version in force is always published with its date and version number; for substantial changes to ongoing processing we will notify you by email before they apply.
